Here are some tips our concierge has created to help you plan your family reunion with us:
- Create a mailing list – figure out who is going to come and get them the information on the destination. Family will have questions so direct them to our website or contact us for more in depth information;
- Determine interests – after they have visited our website, start creating a list of the various activities they are interested in. Some will want to golf everyday, others play tennis, some hit the beaches, some go gambling and so forth;
- Pick a date – well in advance, up to a year in advance, pick the perfect date for everyone and reserve the villa. Nothing messes up a reunion more than not getting the dates everyone needs;
- Develop a budget – in addition to the villa rental, which will be the same regardless of how many people you bring, work up a budget for the rest of reunion. Communicate it so everyone can contribute to the budget;
- Determine special events – decide if you want something special at the reunion, like fireworks, photographer/videographer, live band or anything else. Let the villa concierge know so we can provide accurate pricing for your budget;
- Meal planning – our meal plan at the villa can be easily customized to fit the needs of your family. Gather the information and let the villa concierge know so we can help with your meal planning. If you have a special ‘family meal’ someone wants to prepare, just ask and our chef will be delighted to help in the kitchen;
- Itineraries – get those airline tickets purchased. Call the airline to see if you can get a special discount since you are considered a large group. Airlines will often offer excellent discounts to have a single sale of multiple seats heading for the same destination. Inform the villa concierge of the itineraries so we can arrange ground transportation for everyone;
- Special Decorations – if you want something special to help decorate the villa, such as a theme or something, let the villa concierge know soon so we can locate everything needed;
- Relax – communicate consistently with the villa concierge and you will soon realize that most of the hectic activity of planning the family reunion is not your problem.
